Workflow automation and systems integration

Workflow automation at Marlex AI means removing repeated manual steps from the way work already moves: the same customer typed into several systems, information copied from one tool to another, and handoffs that depend on someone remembering. We standardize the path each job takes and connect the systems involved so data is entered once.

01

Where automation tends to help

Lead intake that is re-keyed into a CRM. Job details copied from a quote into a schedule and then into an invoice. Status updates sent by hand. Spreadsheets that act as the glue between systems that do not talk to each other.

02

Standardize first, then automate

Before automating, we agree on one clear path for each kind of job so outcomes stop depending on who picked it up. Automating a standardized process is simpler to build, easier to maintain, and easier for the team to trust.

03

Does workflow automation always need AI?

No. Rules-based automation moves information or performs an action according to defined conditions. AI can help interpret less structured information, such as text in a report. A workflow can combine these approaches with human review; the choice depends on the task.

Moving a known customer field between systems may not need AI. Interpreting a document can introduce uncertainty, so the scope should distinguish extraction, calculations and decisions that need checking.

04

Integration with tools you already use

Most operations already rely on a CRM, spreadsheets, and accounting software. Integration work connects them so a change in one place reaches the others, instead of replacing systems your team knows.

Which integrations are practical depends on the specific tools involved, and that is assessed during the Business Process Assessment.

An integration may depend on available interfaces, export options, permissions and the condition of the data. Naming a CRM or accounting tool here is not a guarantee that every product or configuration can be connected.

05

What happens when information is missing or wrong?

An automation should not treat missing information or uncertain AI output as a reliable result. Review points, exception handling and responsibility for corrections should be agreed when defining the scope, particularly before output affects a quote, order or invoice.

These are implementation questions to resolve for each project, not a claim that an automated tool eliminates all errors.

Questions

Frequently asked

Will we have to replace our existing software?

Not necessarily. The usual goal is to connect the CRM, spreadsheets, and accounting tools you already use. Whether a given system can be integrated is confirmed during the assessment.

Is automation the same as AI?

No. Automation carries out defined steps; AI can help interpret information within those steps. Marlex AI starts with the workflow to determine whether rules, AI assistance, a process change, or a combination is appropriate.
